EXAMINATIONS AND RECORDS UNIT
The Examination and Records Unit is a sub-unit in the Registrar’s Office. The unit has the primary role of managing students’ academic results and information in the university. It consists of a pool of Examination officers who are assigned departments/programmes and whose primary responsibilities include:
EXAMINATION RESULTS PROCESSING
- Handling examination logistics (answer booklets etc).
- Ensuring compliance with examination regulations and policies.
- Collecting, verifying, and processing examination results.
- Computing Grade Point Average (GPAs) and Cumulative Grade Point Average (CGPAs), and academic standings.
- Publishing official results and examination outcomes.
- Managing corrections, appeals, and remarking of scripts.
ACADEMIC RECORDS MANAGEMENT
- Creating and maintaining students’ academic records and transcripts.
- Safely storing examination scores, grades, and progression data.
- Updating records after course additions, withdrawals, or repeats.
- Ensuring data accuracy, confidentiality, and security.
STUDENT REGISTRATION SUPPORT
- Supporting course registration and verification.
- Managing student status (full-time, part-time, deferred, withdrawn).
- Tracking academic progression and eligibility to sit for examinations
GRADUATION AND CERTIFICATION
- Liaising with Faculties and Departments to determine students’ eligibility for graduation.
- Preparing graduation lists for Senate/Academic Board approval.
- Issuing transcripts, statements of results and certificates.
- Verifying academic credentials for employers and other institutions.
POLICY IMPLEMENTATION AND COMPLIANCE
- Enforcing academic regulations and examination rules.
- Advising faculties and students on academic policies.
- Supporting disciplinary processes related to examination malpractice.
RECORDS MANAGEMENT, SUPPORT, AND REPORTING
- Producing academic statistics and reports for management.
- Supporting accreditation and quality assurance processes.
STUDENT AND FACULTY/DEPARTMENT SUPPORT
- Responding to student inquiries on results, transcripts, and graduation.
- Supporting faculties and departments with records and examination data.
Other duties as may be assigned by the Registrar.
